VisaSyst Editorial Guidelines and Our Commitments to You

Knowing which travel document you need starts with information you can understand and check. Our editorial commitments explain how we write about application requirements, distinguish personal experience from official rules, and address mistakes.

VisaSyst is an independent application assistance service operated by U.S. Vital Documents LLC. We’re not affiliated with any government, embassy, or consulate. Choosing our service is optional.

These commitments cover our travel document pages and Articles section, including information about visas, electronic travel authorizations, arrival cards, customs declarations, and U.S. immigration forms.

We Tell You Who Wrote Each Guide

You should be able to identify who is responsible for the information you read and understand their relevant background.

We distinguish between 2 types of authorship:

  • Named contributors write articles drawing on their travel experience and research.
  • VisaSyst Team identifies content prepared collectively for our document pages and application requirement guides.

Each byline links to an author or team page explaining who created the content, their role, and their relevant experience. We describe that experience accurately, without presenting travel knowledge as a legal or tax qualification.

We Keep Personal Experience and Official Rules Apart

A contributor’s experience can help you understand what applying or traveling felt like. It cannot establish which rules apply to your circumstances.

We make that distinction clear throughout our content:

  • Personal observations are attributed to the person who experienced them.
  • Application requirements are checked against the responsible authority.
  • Fees, eligibility, and processing estimates come from official information rather than an individual’s previous application.

When someone describes a quick approval or a particular border experience, we don’t present it as the outcome you should expect.

First-person accounts must reflect the named contributor’s own experience and be written or approved by that person. We don’t invent experiences or attribute an editorial team’s observations to a contributor.

We Take Every Requirement From the Issuing Authority

You should be able to trace a requirement to the organization responsible for setting it.

We research document requirements using the destination’s official immigration authority, government application portal, embassy, consulate, or foreign affairs ministry. The source we use must be relevant to the document and applicant circumstances discussed.

For U.S. documents and procedures, we consult the responsible agency, which may include:

  • U.S. Citizenship and Immigration Services.
  • The U.S. Department of State.
  • U.S. Customs and Border Protection.

We don’t use forums, social media posts, or other application services as evidence of official requirements.

If official pages conflict, we investigate the discrepancy and explain any unresolved uncertainty. We distinguish announced changes from rules already in effect.

We Bring in a Specialist When a Topic Needs One

Some subjects require qualifications beyond travel writing or application assistance. We don’t treat familiarity with travel documents as evidence of legal, immigration, or tax expertise.

We assess the need for qualified review when content addresses matters such as:

  • Tax obligations associated with digital nomad visas.
  • Eligibility or legal questions involving U.S. immigration forms.
  • Visa refusals and possible next steps.
  • Overstays, unlawful presence, or changes in immigration status.

Where a qualified professional reviews an article, we identify that person and explain their relevant credentials and the scope of their review.

Where no qualified reviewer is available, we limit the content to explaining official information. We state that it isn’t individual legal or tax advice and direct you to the responsible authority or an appropriately qualified professional.

We Never Promise What a Government Decides

Our application service and the government’s decision are separate. Our wording must make that distinction clear before you choose to pay.

We explain:

  • Government fees, where applicable, are charges set by the issuing authority.
  • VisaSyst service fees as charges for our application assistance.
  • Optional services as additional purchases with a defined scope.

Government processing times are estimates unless the authority expressly states otherwise. We identify their source and explain relevant conditions. We don’t promise approval, a particular decision date, or admission at the border.

Priority Processing describes the part of the process VisaSyst controls. Purchasing it does not give us control over government review or decisions.

We Date Every Change

You need to know when information was checked and whether a page describes current guidance or an earlier announcement.

We follow one review schedule for each content type:

Content typeReview commitment
Travel document and application pagesEvery month
Informational articles and guidesEvery month
Dated news articlesRetained as historical reports with a visible publication date

A government announcement or a reader’s report can trigger an additional review before the next scheduled check. We verify the information before changing the page.

News reports remain tied to their publication date. Necessary corrections appear with a dated note rather than silently presenting an old report as current guidance.

We Tell You How We Make Money

VisaSyst charges a service fee for application assistance. You can choose to apply through the official government route, which will generally cost less because it excludes our service fee.

Our content explains that choice without suggesting that using VisaSyst is compulsory or gives an application special standing with an authority.

We keep application buttons and promotional messages visually distinct from informational content. A recommendation to use our service must not be presented as an official requirement.

We link to our refund terms when discussing refunds and don’t turn a conditional refund provision into an unconditional editorial promise.

We Use AI as a Tool, Never as an Author

Our content is created by people, with AI assistance where appropriate. A human remains responsible for checking and approving every page before publication.

AI tools may support tasks such as:

  • Organizing research already gathered from official sources.
  • Improving structure, formatting, and readability.
  • Identifying inconsistencies for an editor to investigate.
  • Flagging possible changes on official pages for human verification.

AI output is not evidence of a requirement, fee, eligibility condition, or processing time. We verify those details against the responsible authority before including them.

We don’t allow AI tools to publish content without human review. We also don’t use invented authors, fictional qualifications, fabricated travel experiences, or AI-generated author photographs.

The person named on a page must be real, and their contribution must be represented accurately. AI assistance doesn’t remove that responsibility.

We Correct Mistakes in the Open

If something on our website appears incorrect, you should have a clear way to tell us.

Send your report by filling in our contact form on our contact page. Include the page URL, the information you believe is wrong, and an official source if you have one. Please don’t include passport numbers or other sensitive application details.

Our correction process has 3 parts:

  • Acknowledge your report within 72 hours.
  • Check the disputed information against the relevant official source.
  • Correct a verified error and explain any change.

We prioritize reports involving eligibility, fees, deadlines, or instructions that could affect an application. Where a correction needs further investigation, we explain the status rather than promise a completion date we cannot support.

Significant corrections receive a visible, dated note on the affected page.
